Job Description

Interamna Group Inc. is seeking an experienced and driven Senior Proposal Coordinator to join our proposal team, focusing on major bids, including tenders from the United Nations and International Organizations. This role is integral in developing, organizing, reviewing, and finalizing compelling proposals and related work-winning documents.

Key Responsibilities

  1. Tender Monitoring: Proactively monitor and identify relevant tenders on platforms such as the United Nations Global Marketplace (UNGM) and Merx. This includes staying updated on upcoming opportunities, understanding tender requirements, and ensuring timely responses for potential bids. Regularly analyze and track tender announcements to align our proposal strategies with current market trends and organizational goals.
  1. Proposal Development and Submission: Lead the development and submission of prequalification, proposal responses, and related documents/presentations. This includes creating compliant, accurate, and compelling response narratives and graphics.
  1. Coordination and Administration: Manage proposal documents, schedules, kick-offs, reviews, document control, and electronic/print submittals. Ensure response data is accurate and well-organized.
  1. Team Collaboration: Work and coordinate with senior members of the EBC national and local teams to support and ensure consistency in brand, image, submission documents, and approach.
  1. RFP, RFQ, and RFI Management: Develop, manage, and finalize RFP, RFQ, and RFI responses. Play a key role in determining document requirements and final submissions.
  1. Strategy Development: Collaborate with various teams to develop win strategies and integrate these throughout proposal deliverables.
  1. Research and Messaging: Conduct thorough research to produce comprehensive proposal responses. Create and manage pursuit responsibility matrices.
  1. Proposal Meetings: Initiate and lead proposal meetings, including kickoffs, status updates, and reviews.
  1. Post-Bid Materials: Create compelling post-bid presentation materials and follow up on submissions.
  1. Continuous Improvement: Lead/support initiatives for continuous improvement in proposal processes.

Qualifications

  • Minimum of 5 years of relevant experience in proposal coordination, preferably with experience in UN and International Organization tenders.
  • Strong management, communication, negotiation, and problem-solving skills.
  • Advanced proficiency in Microsoft Office Suite and Adobe Acrobat.
  • Experience collaborating with professionals from various backgrounds, including executives and technical experts.
  • Ability to work under tight deadlines in a dynamic environment.
  • Exceptional attention to detail, organization, and active listening skills.
  • Ability to manage multiple projects and maintain high-quality standards.
